We are seeking an Executive Assistant to support the company’s Chief Executive Officer and the company’s Chief Financial Officer. The EA will act as a liaison for the CEO, the CFO, and the company, and they must be able to take on multiple tasks simultaneously and use discretion and judgement to respond quickly to changing needs. This role will initially be remote, with the expectation that the team will return on-site in Berkeley sometime in 2021.

In this role, the candidate will be responsible for:

• Executive support to the Chief Executive Officer and Chief Financial Officer
• Extensive calendar and travel management
• Anticipate executive needs while managing day-to-day workflow and prioritizing projects
• Interface with the Board of Directors, executive team, investors and other key stakeholders
• General administrative and office support working closely with the leadership team, other employees, and external parties
• Provide backup support for other administrative staff during periods of overload
• Initial contact with outside inquiries, screening as appropriate
• Project management and follow-up on specific projects as assigned
• Coordination between the company and outside parties
• Seek creative and cost-effective solutions in daily activities and projects
• Apply sound judgment to planning and time management on behalf of the CEO and CFO
• Serve as a host and a central resource for key visitors
• Support and potentially lead planning activities for corporate events
• Other duties as assigned

Candidate must possess:

• 5+ years’ experience supporting C-suite executives in small- to mid-sized companies
• Significant attention to detail
• Ability to proactively manage responsibilities
• Experience with Microsoft Office suite, Google apps, and video conferencing systems
• Capability to prioritize tasks, meet deadlines, and be flexible with changing priorities
• Ability to work independently and take initiative with minimal supervision
• Ability to apply sound judgment with managing the CEO and CFO schedules
• Collaborative approach to working with fellow employees
• Experience maintaining strict confidentiality
• Enthusiastic service orientation
• Outstanding communication skills, both oral and written
• High level of poise and professionalism and the ability to remain calm under pressure
• Flexibility and ability to rapidly adjust priorities
• Ability to work flexible hours based on evolving business needs

Desirable:

• Experience in the life science industry
• BA/BS degree
• Experience managing electronic records
